About the Role

We are seeking a proactive and highly organised Office Coordinator to support the day-to-day operations of our Sydney office on a 3-month contract.

This is a hands-on, fully office-based role responsible for ensuring operational excellence, maintaining a high standard of presentation, and supporting the wider team. The role will take ownership of the overall office experience and contribute to a positive, efficient, and professional working environment.

Job Description

 

Role Responsibilities

Office Operations and Workplace Management

  • Oversee the day-to-day functioning of the Sydney office to ensure a high standard of organisation and presentation.
  • Act as the primary liaison with building management, cleaners and external service providers.
  • Manage office supplies, stationery, kitchen amenities and general workplace upkeep.
  • Ensure meeting rooms and common areas are consistently client-ready.
  • Coordinate office maintenance requests and resolve operational matters efficiently.
  • Support workplace health and safety requirements as required.

Front of House and Client Experience

  • Professionally greet and manage visitors.
  • Manage incoming calls and shared inbox enquiries.
  • Coordinate meeting room bookings and ensure rooms are set up for internal and client meetings.
  • Arrange catering and hospitality for meetings and events.

Administrative and Operational Support

  • Provide administrative support to the Business Manager and operations team.
  • Assist with onboarding coordination for new starters, including equipment, access and induction logistics.
  • Support internal meeting coordination and calendar management.
  • Maintain orderly document management and general administrative processes.
  • Assist with internal initiatives, team events and ad hoc projects as required.

Desired Skills and Experience

 

Skills and Experience

  • Previous experience in an office coordination or administration role, ideally within a professional services environment.
  • Strong organisational skills and attention to detail.
  • Professional written and verbal communication skills.
  • Proficiency in Microsoft Office and Microsoft 365, including Teams and Outlook; experience working with SharePoint and shared document management systems is highly regarded.
  • Advanced Microsoft Word skills, including the preparation and formatting of professional documents and letters.
  • Experience preparing and managing a high volume of correspondence using Mail Merge or similar document automation tools and issuing documents for signature through DocuSign or similar platforms.
  • Ability to work independently, prioritise tasks and show initiative.
  • A service-oriented, proactive and team-focused approach.
